Maintaining Your POS Printer for Smooth Daily Service

Why a Little Maintenance Goes a Long Way

Your till printer sits in one of the hardest-working spots in the building: a warm, greasy, dusty counter where it is opened, reloaded and leaned on dozens of times a day. When it jams or starts printing faded receipts, the queue stops moving and staff start scribbling orders on scrap paper. In most cases the fault is not a dead machine but simple neglect. Dust on a print head, a roll that has been stored badly or a cable that has worked loose cause far more failures than genuine hardware breakdowns.

The good news is that ten minutes of care each week will keep most printers running for years. Below are the practical routines that work in busy cafés, takeaways, salons and independent shops.

Cleaning the Print Head Properly

Thermal printers do not use ink. The print head heats tiny elements that darken the paper coating, so any dust, paper grit or adhesive residue between head and paper shows up immediately as blank lines, streaks or pale text. Clean it often, and always after changing a roll if the paper looks dusty.

  • Switch off and unplug the printer first, and let the head cool for a minute — it gets genuinely hot in use.
  • Open the lid and lift the paper out. Use a lint-free swab or cloth lightly dampened with isopropyl alcohol (around 70 per cent). Never spray liquid into the machine.
  • Wipe the head gently in one direction. Do not scrub, and never scrape it with a screwdriver, fingernail or blade — the coating is delicate and scratches permanently.
  • Clean the platen roller underneath with a slightly damp cloth, turning it by hand. Check for flat spots, gum from label adhesive or trapped grit, which causes uneven feeding.
  • Brush or blow dust away from the paper sensor and the cutter blade if your model has one. A blocked sensor is a common cause of “out of paper” warnings when the roll is full.

Let everything dry fully before closing the lid and reloading.

Choosing and Storing the Right Till Rolls

Poor paper is a false economy. Cheap thermal rolls shed more dust, curl at the edges, jam in the feed path and fade within months — sometimes within weeks if a receipt is left on a sunny windowsill or in a hot car. Look for smooth, evenly coated paper with a clean cut and a tightly wound core.

  • Match the size exactly. Common counter sizes are 57mm and 80mm wide, but you also need the correct roll diameter and core size (12.7mm and 25mm cores are both widespread). A wrong core makes the roll drag or spin loosely.
  • Check compatibility with your model before ordering in bulk — a bargain box of the wrong width is no bargain.
  • Store rolls in a cool, dry cupboard, out of direct sunlight and away from ovens, radiators and windows. Heat and UV are what make thermal paper go grey and unreadable.
  • Keep them sealed until needed and rotate stock first in, first out. Well-stored thermal paper keeps for roughly three to five years.
  • Buy BPA-free paper where you can — kinder to staff who handle rolls all day, and increasingly expected by customers.

Checking Cables, Power and Connections

Intermittent faults — a printer that works, then doesn’t, then does again — are usually connection problems rather than software ones. Work through the chain methodically.

  • Reseat the USB, Ethernet or serial cable at both ends. Push firmly until it clicks or seats fully.
  • Inspect for tight bends, crushed sections or frayed plugs, especially where cables run behind a counter or under a mat.
  • Confirm the cash drawer cable is in the correct port; a shorted drawer lead can upset the whole printer.
  • Check the power supply is the correct voltage for your model and that the brick is not buried under paperwork or covered by a cloth. Overheating power supplies cause random shutdowns.
  • For wireless printers, re-pair the device if receipts stop arriving mid-shift, and keep the printer away from routers, fridges and metal shelving.

Daily and Weekly Habits That Prevent Downtime

Build these into opening or closing routines so they actually happen.

  • Daily: glance at the paper level, tear the receipt cleanly rather than yanking it, and clear crumbs or spillage from the paper path.
  • Weekly: clean the print head, check cables, and run a self-test or feed test to confirm print quality before the rush.
  • Always: keep one spare roll under the counter and a spare printer or manual receipt pad for peak trading days. A five-minute swap beats a twenty-minute panic.
  • Log faults. Note when jams, faded print or connection dropouts happen. Patterns point to the real cause far faster than guesswork.

Knowing When to Repair or Replace

If print quality stays poor after a thorough clean, or the feed mechanism grinds despite correct rolls, the head or rollers may be worn out. Print heads have a finite life, and a machine that has served several years of heavy trading may simply be past its best. Before replacing it, check the basics once more: correct paper, clean head, sound cables, adequate power. If those are all fine and the printer still misbehaves, a replacement is usually cheaper than lost sales during a busy Saturday. Keep a note of your model and roll size so a new machine or a fresh box of paper can be ordered quickly — that single detail saves more downtime than almost anything else.
